The grid thingy is the Graphical user interface or GUI for short.
When you delete books using calibre the book is deleted from the calibre directory and sent to the recycle bin. The other folders you must delete them yourself as calibre knows nothing about them.

There are several ways to add books to calibre, but you must know at least one already if you made a catalogue?

I usually drag and drop which leaves the original book where it is so you have 2 copies.

Clicking the arrow beside add books on the toolbar shows you the options
Selecting the bottom option 'Control adding of books will let you set up an automatic adding function that will add all of the books in a directory you choose. (second tab automatic adding) Then it deletes the original leaving you with only one copy in your calibre directory. I haven't used this option but lots of people do.

Try WordPad, it is part of Windows and pretty basic and will do the spacing job.
