When you edit metadata in the calibre library, it doesn't update the books with the changes. This is done when you send the books outside of the calibre library or use something like Polish Books or the Modify ePub plugin. If you uncheck this option, then any changes you have made will not be seen by your friend.

As to backup, that is one way to do it. There is a backup method in the calibre manual, but I haven't looked at it for a while, so don't remember what it is.
