I think I have discovered what is causing this problem. MIT in the US has a free online Chinese course so I have downloaded the course material - PDF's and m3's. To better organise this material I have renamed the files so that I can organise them as I want and to make the names clearer, for example, files usually have been saved with abbreviated descriptions that don't always make sense when you see one file in amongst a sequence of others. This is where my problem is occurring - I think.
The way the e-reader works is it looks inside the doc, and reads the Title and the Author of the work - where it has been entered into the doc properties, and ignores the file name itself.
Hope this helps anyone having the same problem. It seems that when you are creating your own PDF's etc. that what you need to do is save the description you want in the doc properties - re Title, and Author.

Calibre is free and works very well with the Sony for syncing, organizing, and formating.
